A content process can work well with a coordinator and several editors, then become impossible when the team changes. When our team changed, we had to rebuild the workflow around the people available to run it.

Progress update from 26 June 2026. Instagram publishing was progressing, but TikTok was still blocked by an additional platform approval requirement. Linked guides describe the current product.

TL;DR

Clipflow updates

  • Project duplication became available.
  • Onboarding gained the ability to add clients during setup.
  • Publishing work continued, with Instagram available and TikTok still awaiting an approval hurdle.
  • A change in our own content team prompted a rethink of the process smaller teams need.

Putting it to work

  • Choose a publishing routine that has a clear owner for every handoff.
  • Reuse the structure of a successful project while checking its brief and dates for the new recording.

Count the coordination work as real work

Our head of content had moved on and our editors had found other roles. Without someone to manage the work, we could not keep the same production arrangement running effectively.

That is a familiar problem for a business owner. Hiring an editor does not automatically remove briefing, review, scheduling and follow-up from your week. Somebody still needs to connect those steps.

Begin with one recording your business can sustain. Define who prepares the brief, who edits, who approves the explanation and who reviews the final posts. If all four jobs currently belong to the founder, choose a smaller scope before increasing the volume.

Reuse a working structure

Project duplication was one of the week's practical additions. Once an answer-to-camera project has a useful structure, reuse that starting point for the next question instead of rebuilding the setup every time.

Review the copy carefully. A reused structure still needs the correct subject, owner and timing. Your editor should know which parts are standing instructions and which parts belong to this particular recording.

The current Project Pages guide explains keeping scripts and references with the project. Put the customer's question and the desired takeaway there so the editor can make decisions without reconstructing the brief from chat messages.

For finished posts, the scheduling guide describes automatic placement and its prerequisites. Use that capability to remove routine handling, while retaining a clear review decision before a post is ready.

The useful target is a week your current team can repeat. A reliable recording, a brief someone can act on and a checked publishing handoff give you a base to expand when the business is ready.

This week: After the team change, we also reviewed ad spending and customer acquisition. The same discipline applied to content: focus limited time and money on the work that is useful enough to keep doing.
