What Task List Templates Do

Task list templates give you a structured, repeatable workflow. When you create a new project using a template, Clipflow will automatically:

  • Create all tasks
  • Apply due dates relative to the scheduled publish date
  • Assign tasks based on skill or role
  • Calculate workload points
  • Keep your entire team aligned on the same process

Setting Up Tasks Inside a Template

Task Due Dates

You can define when each task is due relative to the project’s scheduled date. Examples:

  • 7 days before publishing
  • 14 days before publishing
  • 2 days before publishing
  • 7 days after publishing (for follow-up tasks like performance review) This makes the workflow dynamic — deadlines adjust automatically when you move the project schedule.

Assigning Skills Instead of People

Each task can be assigned to a skill, such as:

  • Thumbnail Designer
  • Video Editor
  • Writer
  • Packaging Specialist

This prevents you from hard-assigning tasks to individuals and keeps things flexible as your team grows.

To manage skills:

  • Open Team Members
  • Select a person (e.g., Goose)
  • Assign multiple skills they can performThis allows Clipflow to automatically route tasks to team members who match the required skill.

Workload Points

Workload points help you track team capacity. Example:

  • A designer has 100 points available per day
  • A thumbnail task is set to 50 points
  • Clipflow can determine how many tasks each team member can realistically handle This helps you avoid overloading editors and designers.

Adding New Tasks

You can add tasks at any time inside a template. Steps:

  • Add a new task
  • Drag it to the correct position
  • Set the due date (before or after publish)
  • Assign a skill
  • Add workload points if needed Common use cases:
  • “Review performance” set 7 days after publish
  • Additional editing rounds
