How Clipflow plans, seats and billing work when you run more than one content workspace

Keep each brand or client workspace on the plan that makes sense for it

Billing sits on the organization, not on you. If you run three brands as three organizations, each one carries its own trial, plan, and invoices. That lets an agency bill per client and lets a client keep their own subscription after you hand the work over.

Payments run through Stripe. Card details never touch Clipflow.


Your free trial

Every new organization starts with a 14 day free trial. No card is required to start.

  • The countdown begins when the organization is created, not when you first log in.
  • The full product is available during the trial.
  • Remaining days show in the app so you are not guessing.
  • When the trial runs out, the organization needs a subscription before you can carry on working in it.

Adding a card before the trial ends does not cut it short. Any days you have left carry into the subscription, so you are not charged for time you already had.


Step 1: Choose a plan

  1. Open Organization settings from the organization switcher.
  2. Choose Billing.
  3. Select the plan you want.
  4. You land on Stripe Checkout to enter payment details.
  5. After paying you return to Clipflow and the organization is active immediately.

If you have a promotion code, enter it on the Stripe Checkout screen. There is a field for it above the payment details.


Step 2: Manage an existing subscription

From Organization settings → Billing you have two doors, both into Stripe’s billing portal:

Both return you to Clipflow when you are done.

Changing your plan

Use Change subscription. Upgrades apply straight away and Stripe prorates the difference. Downgrades take effect at the end of the current period, so you keep what you are paying for until then.

Updating a card

Use Manage billing → payment method. Do this before the card on file expires, since a failed payment can suspend the organization.

Finding an invoice

Every invoice is in the billing portal under invoice history, each one downloadable as a PDF. Stripe also emails them to the billing address when the payment succeeds.

Cancelling

Cancel from Manage billing. The organization stays active until the end of the period you have paid for. Your projects, media, and posts are not deleted when a subscription lapses, but the organization becomes read-only until it is subscribed again.


Seats

Plans that include seats count the people in your organization who hold a paid role. Clipflow keeps the count in sync with your subscription, so adding people can change what you pay at the next renewal.

Not every role costs a seat:

That split is deliberate. Clients you invite to review work come in as guests, and contractors you work with come in as suppliers, so neither adds to your bill. See Inviting Clients.


Tips and best practices

  • Put the finance address on the organization, not a personal inbox. Stripe emails receipts and failed-payment warnings there, and those are the messages you cannot afford to miss.
  • Agencies: one organization per client. It keeps invoices clean and means handing a client their workspace does not mean untangling your billing.
  • Check seats before a hiring push. Adding five editors mid-cycle changes the next invoice.
  • Do not let a trial lapse mid-production. The workspace becomes read-only, which is an awkward moment to discover on publish day.

Frequently asked questions

Do I need a card to start the trial?

No. The 14 days run without one.

What happens to my work if I cancel?

Nothing is deleted. The organization becomes read-only, and resubscribing restores full access.

Can one card pay for several organizations?

Yes. Each organization has its own subscription, and you can use the same payment method on each.

I subscribed but the organization still says trial.

Reload the billing screen. Clipflow syncs the subscription from Stripe when you return from checkout, and it settles within a moment.

Can I get an invoice with my company details on it?

Yes. Set the billing address and tax details in the Stripe billing portal, and they appear on every future invoice.

Does a client I invite cost me a seat?

No. Only team members count toward seats.
