How to save the content views your team needs to plan work faster

A custom view is a saved arrangement of the projects or posts screen: the filters you applied, how it is grouped, and how it is sorted. Save it once and it is a click away instead of a rebuild every morning.

Views exist for projects and for posts, and each has its own URL, so a view can be linked to and bookmarked.


Why save views?

Common problems solved:

  • Reapplying the same four filters every time you open the board
  • Editors scrolling past work that is not theirs
  • Everyone seeing the same board regardless of their job
  • Weekly planning starting with five minutes of setup

Step 1: Build the view

  1. Open Projects or Posts.
  2. Apply the filters you want: assignee, channel, status, category, priority, labels, and so on.
  3. Set the grouping and sort.
  4. Choose Save view and give it a name.

Step 2: Choose who it belongs to

A view is owned either by you or by the organization.

Personal views are for how you work. Organization views are for how the team works, and are worth agreeing on rather than accumulating.


Step 3: Set a default

Set a view as your default and it is where the screen opens. Most people default to the narrowest useful view: an editor to their own assigned work, a producer to the whole board.


Board options

Two settings change how a board reads:

  • Hide empty statuses: drop columns with nothing in them. Useful on a board with a dozen statuses where only four are ever busy.
  • Tile colour source: what the colour on each card represents, such as status or a label group. Pick the dimension you scan for, and the board becomes readable at a glance.

Dragging a card between columns updates the project, so the board is how you move work rather than just how you look at it.

Failed publishes deserves a spot. A failed post is invisible on a normal board, and a saved view is how it stops being a surprise.


Tips and best practices

  • Keep personal views personal. Make it an organization view only when the team needs the same slice.
  • Prune them. Six good views beat twenty nobody trusts.
  • Set a default on day one for new teammates. It shapes what they think their job is.
  • Link views in your standing agenda so a weekly meeting opens on the same board every time.

Frequently asked questions

Can I share a view with one person?

Views are either yours or the whole organization’s. To share with one person, send them the view’s URL.

Does changing an organization view change it for everyone?

Yes. Make a personal copy if you want your own variation.

Do views work across organizations?

A view belongs to the context it was built in. The projects overview is where you look across everything.

What happens to a view if I delete a status it filters on?

The filter no longer matches anything. Edit the view and re-save it.

Can I reorder my views?

Views are ordered by title, so name them the way you want to read them.
